Connect Microsoft 365

Connect your Microsoft 365 account to Rally to check your availability, add interviews to your Outlook calendar, create Microsoft Teams links, and (if your workspace allows it) send participant emails from your Outlook address.

Microsoft 365 is a personal integration, so each Rally user connects their own account. Rally only asks for email permissions if your Admin has enabled Allow email sending permission when connecting Google or Microsoft accounts in Workspace account settings and your role can send email. Otherwise, you'll only connect your calendar.


Connect your Microsoft 365 account

Steps

  1. Navigate to Settings > Connected Accounts.

  2. Select Connect Microsoft 365.

  3. In the popup window, sign in to the Microsoft 365 account you want to connect.

  4. Review the requested permissions, listed in the table below, and select Accept. If you see Approval required or Request approval instead, your organization needs IT to approve Rally first.

  5. The popup closes automatically and Microsoft 365 shows as connected on the Connected Accounts page.

Admin approval

Depending on your company's security requirements, you may see a message that you need admin approval before continuing. If you do, ask your IT team to approve Rally for your whole organization using the steps below.

Organization-wide approval has to include every permission in the Required permissions table. If even one is missing, Microsoft shows each user the full "Approval required" screen again.

  1. Add your IT admin to Rally with the Admin role. Developer and Collaborator roles request fewer permissions, so approval given from those roles won't cover your researchers. Contact Rally Support if you need a temporary paid seat for IT.

  2. Your IT admin logs in to Rally with their own Admin account (not someone else's session) and navigates to Settings > Connected Accounts.

  3. They select Connect Microsoft 365 and sign in with a Microsoft account that has one of these Entra roles: Global Administrator, Privileged Role Administrator, Cloud Application Administrator, or Application Administrator.

  4. They check that all six permissions are listed, select Consent on behalf of your organization, and select Accept. If they see Request approval instead of the checkbox, their Microsoft account doesn't have one of the roles above.

  5. Optional, depending on M365 consent and permissions settings:  To limit Rally to specific people, open Rally UXR (app ID 1c7e3be3-dd7d-4f67-88ca-c9ea85f16092) in the Microsoft Entra admin center, set Assignment required to Yes, and assign users or groups. This isn't needed for approval, and anyone you don't assign won't be able to connect.

Supported Microsoft 365 email providers

  • Microsoft Exchange Server 2003+

  • Microsoft Exchange Online

  • Microsoft Office 365

  • Personal accounts such as from hotmail.com, msn.com, outlook.com, etc.

Rally works with work or school accounts on Microsoft 365 and Exchange Online, and with personal Microsoft accounts (outlook.com, hotmail.com, msn.com).

Disconnect or reconnect Microsoft 365

To disconnect, navigate to Settings > Connected Accounts, select Disconnect next to Microsoft 365, and confirm.

Only one calendar account can be connected at a time. To switch from Microsoft 365 to Google, disconnect Microsoft 365 first.
