Manage People in Rally
Last updated: October 23, 2026
People tables let you find, select, and take action on people across Rally. The same table appears in your People database, populations, lists, study participant tables, and incentives, so the tools below work the same way everywhere.
To add people to a population, or remove or move them between populations, see Managing People in Populations.
Find people
Search by name or email
Type a name or email in the search box at the top of any people table. Search matches any part of a name or email, and it isn't case sensitive. For example, searching smith finds "Jane Smith" and "smith.j@example.com."
Search covers names and emails only. To find people by phone, participant ID, or any other property, use filters instead.
Search only covers the fields your role can view. If you can't view email addresses, search matches names only.
Search for multiple names or emails at once
To find several people in one search, separate each name or email with OR, with a space on both sides. For example:
jane@example.com OR sam@example.com OR Priya Shah
Rally shows everyone who matches at least one of the terms. You can mix names and emails in the same search.
When you search for more than one term, complete email addresses only match that exact address. For example, mo@example.com OR sam@example.com won't return demo@example.com.
Separate every term with OR. Commas, semicolons, spaces, and line breaks aren't treated as separators, so a list pasted straight from a spreadsheet won't return results. To search a column of emails, add OR between them first (for example, with find and replace in your spreadsheet).
Filter the table
Select Filters to narrow the table by any property, such as location, contact status, or study history. To reuse a set of filters and columns, save them as a view. Learn more in Filters and Views.
Select people
Use the checkboxes on the left of the table to select people:
One person: Select the checkbox next to their name.
A range of people: Select the first person's checkbox, hold Shift, and select the last person's checkbox. Everyone in between is selected.
With your keyboard: Select any cell in a person's row and press the spacebar. Use the up and down arrow keys to move between rows, and press the spacebar to select more people.
Everyone in the table: Select the checkbox in the table header. This selects every person who matches your current search and filters, including people you haven't scrolled to yet. To leave someone out, uncheck them after selecting all.
Unselect: Select a checked box again, or press the spacebar on a selected row.
The number of people selected appears at the top of the table, so you can confirm your selection before taking action.
Select a random sample
Pull a random sample from the People database, a population, a study's participant table, or screener responses.
Apply any filters first, so the sample comes from the right group of people.
At the top of the table, click Select.
Enter the number of people to include, then click Select again.
The sample can't be larger than the number of people in the table. Random selection isn't available in incentive or message tables.
Take action on people
You can act on one person or many at once:
For one person: Hover over their row and select the three dots (...) that appear.
For several people: Select them, then use the buttons at the top of the table, or select More actions for the full list.
These actions are available in every people table:
Action | What it does |
|---|---|
Export | Download a .csv of the people you selected. The file includes the columns in your current table layout, so add any columns you need before exporting. |
Edit properties | Update property values for one or more people at once |
Add to... | Add people to a new study, an existing study, or a population |
Governance | Add people to or remove them from the blocklist, or add a manual cooldown |
Merge records | Combine two duplicate records into one. Available when exactly 2 people are selected. See Merge Participant Records |
Delete from workspace | Permanently delete people from Rally |
Actions in study participant tables
In a study, you'll also see actions for managing participants in that study:
Action | What it does |
|---|---|
Compose email | Send an email to the selected participants |
Compose incentive | Send an incentive to the selected participants |
Participant status | Change the participants' status in the study |
Assign to quota / Remove from quota | Add participants to one of the study's quotas, or take them out of it |
Assign to shortlist | Mark participants as a Good fit, Maybe fit, or Not a fit |
Remove from study | Take participants out of the study without deleting them from Rally |
Actions in populations and lists
In a population or list, you'll also see:
Action | What it does |
|---|---|
Move to population | Move people to another population (populations only). See Managing People in Populations |
Remove from population / Remove from list | Remove people from the population or list you're viewing without deleting them from Rally |
Some actions depend on your role's permissions. For example, removing people from the blocklist, adding manual cooldowns, and merging records each need their own permission.
Delete from workspace permanently removes people and their records from Rally and can't be undone. To take someone out of a single study, population, or list without deleting them, use Remove from study, Remove from population, or Remove from list instead.
Customize your table layout
Add, remove, reorder, and resize columns
Add a column: Select Columns > Add column and choose the property to show.
Remove a column: Select Columns, then select the trash icon next to the column. Confirm trash icon
Reorder columns: Drag a column title left or right, or select Columns and drag columns into a new order.
Resize a column: Drag the edge of the column title.
Pin columns
Hover over a column title and select the menu icon that appears. Select Pin left or Pin right to keep the column in view as you scroll sideways. Select the same option again to unpin it. The Name column is always pinned.
Save your layout
Rally saves your layout automatically as you make changes, including column order, width, and pinning. Your changes only apply to you and to the table you're in. For example, a study's All participants tab keeps its own layout, separate from the study's other tabs.
To make your layout the default for everyone, select Save as workspace default at the top of the table. Select Reset to go back to the default layout.
FAQs
Will my column changes affect my teammates?
No. Column changes are saved only to your account, unless you select Save as workspace default.
When I select all, does it include people I haven't scrolled to yet?
Yes. The header checkbox selects everyone who matches your current search and filters, not just the people loaded on screen. Check the selected count at the top of the table before taking action.
