Add Participants to a Study

After publishing a Study, decide how you want to add people into a Study before sending email invitations or using Share Links to invite Participants through other channels.

There are three different options for adding participants to your study:

  • Find people in Rally

  • Create new person

  • Import from CSV

See below for details as to how to add participants to your study using each of the above methods


Find people in Rally

  1. From within your study, select the Add participants button in the top right corner of the page.

    • In the dropdown, select Find people in Rally to open the Add Participants to this study window

  2. Select which population you would like to add participants from via the left side population navigation in the window. You'll be able to see any population your assigned team(s) have access to.

    1. You'll also be able to utilize the Lists and Segments you created in those populations. Navigate directly to one of your lists/segments via the dropdowns at the top of the window or from the Overview tab.

    2. If you've applied any additional filters, you can always go back to the default view using the Reset button on the top right of the window.

  3. Review the filtered list of Participants to ensure they match your desired audience for the Study. This step is essential to make sure you are inviting the right Participants for your research.

  4. Next, select the Participants you want to add to the Study. You can do this by checking the corresponding checkboxes next to their names or select the checkbox at the top of the row to select all people in the filtered view.

    • If you want to add a specific number of Participants randomly, you can use the 'Select' option and input the desired sample size.

  5. Once you have made your selections, select the Add Selected (#) button to add them to your Study. After adding the Participants, they will be eligible to receive Study invitations based on your Study settings.


Create new person

  1. From within your study, select the Add participants button in the top right corner of the page.

    • In the dropdown, select Create new person to open the Add person side panel

  2. Select the Population you would like this participant to be added to.

  3. Fill out information for any additional properties you desire.

    • Note: Email, Phone, First Name, or Last Name are required to create a new person

  4. Once you are done, save the Participant's information by selecting Add participant or save and add another participant by selecting Create and add another


Import from CSV

  1. From within your study, select the Add participants button in the top right corner of the page. In the dropdown, select Import from CSV

  2. After reviewing the requirements and best practices, select Continue to upload.

  3. Select the + to choose the .csv file to upload.

    • You can also select Download Excel template to download a template with prefilled headers of all available properties from your Rally workspace.

  4. Confirm the header row. Select Next.

  5. Map the columns from the CSV to the corresponding Properties in Rally. If a Property has not been created yet, you can create it now.

  6. Delete any data columns you don't wish to upload.

  7. Review any with issues to remove or edit data to ensure a clean, accurate import.

  8. Review and finalize your upload, then select Import.
