Observer Rooms Settings
Observer Rooms allow you to invite team members and stakeholders to livestream user interviews without intimidating or distracting Participants. Observer Room links are automatically generated and included in a separate calendar invite to observers. Configure Observer Rooms Settings for how long recordings are stored before being deleted, who can access Observer Rooms, and who can download recordings.
🚨 Managing all Observer Rooms Settings requires a Super Admin role type. Ops Manager role types can only manage the Download Past Recordings setting.
Observer Room Storage
By default, Rally stores all Observer Room data for a maximum of 1 year. However, Super Admins can toggle automatic deletion after a shorter duration and set the date range to control how long recordings (and other Observer Room data) are stored in Rally and its subprocess before being deleted forever.
Delete Observer Room Recordings
Toggle this setting on to automatically delete recordings after a shorter duration of time.
Delete Recordings After
Select the duration after which your Observer Room recordings will be deleted. Select from after 7, 14, 30, 60, or 90 days.
Select 'Apply' to save changes after selecting your preferred settings.
Observer Room Access
Super Admins can define and restrict who can access Observer Rooms links to set preferred security and access levels. Changes to this setting will apply to all upcoming sessions.
Anyone with the Link (default)
This setting allows anyone with the link to the Observer Room to access it.
Note: Even though there isn’t a passcode for users to enter with this option, the Observer Room link contains a pwd query parameter that protects the room against unwanted access.
Anyone with the Link and Password
This setting adds a password prompt that requires observers to enter a password in order to access the room.
The password for the Observer Room can be found in the Observer Room share sheet in Rally, in the calendar invites, and in emails sent to the Observer Room guests.
You can change the password for the Observer Room at any time using the share sheet in Rally.
Note: If you change the Observer Room password, communications sent to Observer Room guests with the old password will not be updated.
Only Rally Users
This setting only allows Rally users logged into your workspace to access the Observer Room. Observers not logged into your workspace will be redirected to the Rally login page. Once logged in, they will be brought back to the Observer Room page.
Download Past Recordings
We have two settings to control who can download past Observer Room recordings.
Study Owners and Admins
Only allow owners of a Study and Super Admins to download past Observer Room recordings.
Admins Only
Only allow Super Admins to download past Observer Room recordings.
