Question Templates

Question Templates let you save and reuse Screener and Survey questions across Studies.. Map questions to existing Properties or create new ones as needed, and share templates with your team. Any question template used in a study template stays in sync, so updates propagate automatically.


Create a new question template

You can create new question templates from the Templates section, or by saving a question as a template when creating a screener or survey.

Creating question templates requires the "Create and modify question templates settings" permission. This includes the Rally default roles Admin, Ops Manager, or Researcher.

From question templates

  1. From the navigation sidebar, select Templates.

  2. Select Questions from the tabs at the top to switch between template types.

  3. Select + New in the top right.

  4. Fill out the required details:

    • Template name: Use a descriptive name so your team can easily identify it.

    • Question: Enter the question to be shown to participants.

    • Question type: Select the appropriate type. Options include Short Form Text, Long Form Text, Date, Number, Single-Select, Multi-Select, Dropdown, and Matrix.

    • Mark question as required to always require a response.

    • Show question description to add context for participants. Descriptions support rich text including images, formatted text, and lists.

    • Assign response to property to map responses to a participant property. Select an existing property from the dropdown or select Create property to create a new one.

      Property mapping enriches participant profiles automatically. Any time a participant answers a mapped question, their property values update with the new response.

  5. For Single-Select, Multi-Select, or Dropdown question types, add the available answer options:

    • Select + Add new option to add options one at a time.

    • Select + Add multiple new options to paste comma-separated values or type and press enter for each option.

    • Select Add "other" option to allow participants to type an alternative answer.

    • Select Add "None of the above" option to include it at the bottom, even if options are randomized.

    • Turn on Randomize options to display options in random order for each participant.

  6. For Matrix questions, use the Rows and Columns tabs to configure statements and responses. Learn more about Matrix questions.

  7. Select the Permissions tab to configure which teams can access this template. New templates default to Entire workspace has access if created from the workspace-level Templates page, or to team-only access if created within a specific team.

    • To restrict access, select Only specific teams have access, then select + Add teams to add teams. Select the x next to a team to remove their access.

  8. Select Save changes to apply.

From a screener or survey

Create question templates on the spot when building a screener or survey.

After creating a question and selecting Done, select the 3 dots (...) in the top right corner of the question and select Save as question template.


Manage question templates

Manage existing question templates from Templates > Questions.

Edit question templates

Select the name of a question template to open it and begin editing. Make changes to the question, options, permissions, and more. When you select Save changes, you'll see how many study templates will be affected by the update.

If the question template is used in any study templates, a confirmation modal will appear before the update is applied. The modal displays how many study templates will be affected and confirms that existing studies already created from those study templates won't be affected. Enter the number of study templates shown and select Confirm.

Delete question templates

Select the 3 dots (...) to the right of a question template, select Delete, and confirm in the pop-up.

Duplicate question templates

Select the 3 dots (...) to the right of a question template and select Duplicate. A copy will be created with the same name + (copy). Select the name to open and edit it, then select Save changes to apply.


Sync question templates to study templates

When a question template is added to a study template, it stays in sync. Updates made to the question template automatically apply to every study template using it; you don't need to update each one manually.

When saving changes to a question template, Rally will show you how many study templates will be affected.

How synced questions work

Questions synced from a question template are locked by default; the question content can't be edited directly in the study template. A tooltip on the question indicates it's tied to a template.

Synced questions display information about where they came from, both when editing a study template and when creating a study from it. If a question was added before update syncing was introduced, it won't receive updates; re-add it to the study template to start syncing.

Conditional logic is an exception: even on a locked, synced question, you can still add or edit branching rules at the study template level.

Detaching a question from its template

If you need to edit a synced question independently, select the 3 dots (...) next to the question and select Detach from source template. Once detached, the question is no longer synced and can be edited freely but it will no longer receive updates when the question template changes. This only applies to that specific study; the template itself remains intact and stays connected to any other studies where it's in use.
