Rally provides the flexibility to personalize and brand your email communications with the option to use personal sender addresses. You can send emails from your linked Google or Microsoft 365 account or from a custom email domain if your workspace has one already set up. By utilizing these features, Rally empowers you to tailor your sender addresses, create a professional email identity, and streamline your email communications according to your preferences.

๐Ÿ’ก We recommend using your custom workspace domain email as your default sender to allow higher bulk email sending. Personal accounts, such as Google and Outlook, limit daily email sending rates to 700 per day.

Custom Domains

If your workspace has a custom domain set up, you can edit the default From Name, From Address, and Reply To Address for your emails. This allows you to personalize and brand your email communications according to your specific domain. This gives your Participants clarity on who is contacting them and reduces the risk of your emails being marked as spam.

  1. In the top right corner of Rally, select your user icon and select 'Settings'.

  2. From the sidebar, select 'Email'.

  3. On the right, select the three dots and select 'Edit'.

  4. Review the sections below to learn more about email sender setup best practices.

Default Address

You can set any of your sender addresses as the default for your workspace. Select the three dots next to an address, then select 'Set As Default'. This ensures that the chosen address will be used as the default sender for your emails unless specified otherwise.

Custom Email Signature

Rally allows you to create a custom email signature for any email sender. You can choose between a plain text format or use HTML to design a more visually appealing signature. This allows you to add a professional touch and provide additional contact information or branding elements in your emails. Customize font type, size, and color, add images, or include links or buttons.

Emails sent from custom domains don't go through a typical inbox, so your daily email sending rates are not limited.

  • From Name

    • Customize the name shown to Participants receiving your emails. Most customers prefer to use a naming structure of [Your Full Name] + [Role], such as "Jane Deaux UX Researcher" or "Jane Deaux Product Designer" for a more personal approach so that Participants know they're interfacing with a real person.

  • From Address

    • Customize the email address your Participants see in their inboxes. Most customers prefer to show this is coming from their research team, such as "[email protected]" by entering "research" in the text field.

  • Reply To

    • Customize the reply to address to receive any responses in a specific inbox. Most customers prefer to use a shared research email here to improve visibility and collaboration by allowing all research teammates access to the inbox.
