Set Up Your Account

Set up your personal Rally account: add your name and photo, connect the tools Rally works with, and choose how your emails look to participants. These settings only apply to you, so each teammate sets up their own.

User Settings are broken into Profile, Connected Accounts, Availability, Email, and Notifications. This article covers Profile, Connected Accounts, and Email. See more information here for Availability and Notifications management.


Edit your profile

Add your preferred name and profile picture so teammates can recognize you in Rally.

  1. Navigate to Settings > Profile.

  2. Enter your preferred name. This is how you appear to teammates across Rally.

  3. Upload or change your profile picture.

  4. Select a Default mode. If you have access to both Rally Research and Rally Agent, choose which one opens by default when you sign in to Rally.

  5. Select Save changes.

Your Role appears on your profile but can't be changed here. Roles are managed in Settings > Users by anyone with the "Create and modify users role settings" permission. See Users, Roles, and Permissions for what each role can do.


Connect your accounts

Connect your email, calendar, video, and Slack accounts so Rally can send emails as you, check your availability, add video links to interviews, and notify you about study activity.

  1. Navigate to Settings > Connected Accounts.

  2. Select the Connect button next to each account you want to use and follow the steps in the popup.

You can connect Google or Microsoft 365, but not both. To switch, disconnect the one you have first.

If your workspace uses calendarless scheduling, Google and Microsoft 365 don't appear on this page.


Set up your email sender

Choose which address your emails come from, how your name appears to participants, and what signature is added. Your sender addresses can include your connected Google or Microsoft 365 account and a personal address on each of your workspace's verified custom email domains.

We recommend making your custom domain address your default sender if possible. Custom domains have no daily sending limit and support all email tracking metrics. Google and Microsoft 365 accounts are limited to 700 emails per day.

Edit a sender address

  1. Navigate to Settings > Email.

  2. Select the three dots (...) next to the sender address, then select Edit.

  3. Update any of the following:

    • From Name: The name participants see. Most customers use their full name and role, such as "Jane Deaux, UX Researcher," so participants know they're talking to a real person.

    • From Address: The address participants see in their inbox. Enter the part before the @, such as "research" for research@yourcompany.com.

    • Reply To: Where participant replies go. A shared research inbox gives your whole team visibility.

  4. Select Save.

For a connected Google or Microsoft 365 address, the From Name and From Address come from that account and can't be edited here. You can still change Reply To and add a signature.

Set your default sender

Select the three dots (...) next to any of your sender addresses, then select Set as default. Rally preselects this address when you compose an email, and you can still pick a different sender from the dropdown.

Your workspace admin decides whether manual emails default to your personal sender or the brand's default email, in Settings > Email domains > Default sender. Automated emails, like invitations, confirmations, and reminders, always send from the brand's default email.

Add an email signature

Add a signature to any of your sender addresses.

  1. Select the three dots (...) next to the sender address, then select Edit.

  2. In the signature section, use the simple editor, or switch to HTML to paste or write your own code. HTML signatures show a preview below the editor.

  3. Select Save.

Signatures are only added to plain-text emails you send yourself. They aren't added to branded or custom HTML template emails, or to automated emails like interview confirmations and reminders.
