Export Data

Export Rally table data to track or report research progress to update stakeholders and collaborators.

Learn how to export data from various Rally tables as needed to create or add to spreadsheets or workbooks for required tracking and reporting outside of Rally. This can be useful for reporting to stakeholders, cross-functionally collaborating teams, or reporting on the progress or success of your various research efforts.

Export Data from Rally Tables

🚨 Exporting data requires the "Export data from your studies" (studies you are an owner of) or "Export data from your workspace" permissions.

  1. Navigate to any Rally table you wish to download data from, such as:

    • People - Open a population or database, or select a segment or list within.

    • Budgets - Open a budget or select the payments tab at the top to view incentives for all budgets here.

    • Studies - Open a study and select a study element from the sidebar to open the relevant table, such as Participants, Survey or Screener Responses, Incentives, or Messages (select the 'All Messages' tab).

    • Forms - Open a signup form and select a table, such as Signups, Approved.

  2. Add the desired properties to the table: Select Columns to search and add every relevant column to the table to configure which data to include in the export.

    • Rally does not default to showing every property in tables in order to keep views clean and functional, so selecting the data you want is important here!

    • Drag, drop, and reorder columns before exporting to customize the ordering.

  3. Select the checkboxes for each row to include in the export, or use the checkbox at the top of the table to select all rows where allowed.

  4. Select the Export button at the top of the table.

    • The export button only shows when rows are selected using the checkboxes.

  5. In the popup, select Export to confirm and begin the CSV file download.

  6. Depending on the size of the file, it may take some time to process. Once the export begins, you can close the window and allow it to finish in the background. Completed exports will download to your computer as well as send an email confirmation with a link to view.

You can view all your exports by navigating to People in Rally, selecting a population or database to open, and selecting the Exports tab at the top of the table.


Upload CSV Exports from Rally into Spreadsheets

Once your Rally data has been exported, easily upload the new CSV file into a new Google Sheets or Microsoft Excel spreadsheet to view or share your download. This can be useful for reporting to stakeholders, cross-functionally collaborating teams, or reporting on the progress or success of your various research efforts.

This process is completed in Google Sheets after exporting data from Rally.

  1. Go to Google Sheets and select the 'Start a new spreadsheet' button.

  2. Go to the File’' menu and select the 'Import' button.

  3. In the 'Open a file' popup, select the 'Upload' tab and select your CSV file from your computer or drag and drop it.

  4. In the Import file settings window, unselect the checkbox ‘Convert text to numbers, dates, and formulas', and then select the 'Import data' button.

  5. Once complete, you have opened a CSV file as a spreadsheet table.

  6. You can edit this spreadsheet as needed to remove or reorder columns and more.

Upload CSV into Excel

This process is completed in Excel after exporting data from Rally to create an Excel workbook by using the Open command.

  1. Opening a text file in Excel does not change the format of the file — you can see this in the Excel title bar, where the name of the file retains the text file name extension (for example, .csv).

  2. In the top nav menu, select 'File' > 'Open', or select 'Open' from the side nav bar, and browse to the location that contains the CSV file.

  3. Locate and double-click the CSV that you want to open or select it and then 'Open'.

  4. Excel automatically opens the file and displays the data in a new workbook.

Note: When Excel opens a .csv file, it uses the current default data format settings to interpret how to import each column of data. If you want more flexibility in converting columns to different data formats, you can use the Import Text Wizard. For example, the format of a data column in the .csv file may be MDY, but Excel's default data format is YMD, or you want to convert a column of numbers that contains leading zeros to text so you can preserve the leading zeros. To force Excel to run the Import Text Wizard, you can change the file name extension from .csv to .txt before you open it, or you can import a text file by connecting to it.
