Manage Studies

Understand the Study Overview page and manage your studies: add participants, collaborate with teammates, share links, and more.
Study overview
Navigate to Studies and select a study name to open the Study Overview. This provides a snapshot of the study's setup, availability, and progress. Available options will vary by study type (Interview, Survey, or Unmoderated Test).
Sidepanel navigation
Use the left sidepanel to navigate between study elements:
Overview
Interviews: view and manage all interviews by status: Upcoming, Completed, No Showed, or Canceled
Messages: view emails sent to participants in bulk (Campaigns) or individually (All Messages)
Observer rooms: view Observer Rooms if enabled for this study
Participants: view and manage all participants, or filter by progress
Survey responses: view survey responses from participants
Incentives: view incentives sent to participants
Progress
The Progress section shows how close you are to hitting the goals set for this study, including # invited, # interviews booked, # interviews completed, # surveys completed, and # tests completed.
Study details
The righthand panel shows the study's core setup: status, team, type, dates, length, limit, and quick preview links for the participant experience.
Status: The Study Status (Draft, Active, Paused, Closed).
Team: Which Teammates are involved.
Type: The Study Type (Interview, Survey, Unmoderated Test).
Dates: The dates for this Study (fixed or rolling date range).
Length: The length of the interview (time in minutes/hours) or survey (# questions).
Limit: The set # of interviews, surveys, or tests required.
Quick Previews: Links to preview the Participant's experience when viewing the scheduler, survey, test, or incentive.
Study actions
Select ... in the top right to access the following actions: Change Status, Edit Study, Add Teammates, Duplicate Study, and Delete Study.
Share links
Select Share in the top right to access share links. Available links vary by study type:
Invite link: for open recruitment; participants go through the screener to qualify
Scheduling link: for Interview studies only; bypasses the screener and takes participants directly to scheduling
Unmoderated test link: for Unmoderated Test studies only; bypasses the screener
Copy and share the appropriate link via email, messaging platforms, in-app popups, or any other channel. If public links aren't enabled, select Enable Links to turn this on in the study setup.
Add participants
Select Add Participants in the top right to add participants from Rally, a CSV upload, or manual entry. See Add Participants to a Study for full details.
Messages
Select Messages from the left sidepanel to view all emails sent to participants in this study. The number next to Messages reflects the total email count, including automated emails (booking confirmations, reminders, etc.) and team-sent emails.
Use the tabs to switch views:
Campaigns: groups bulk email sends and shows aggregate metrics including total messages, open rate, click rate, bounce rate, and spam complaint rate.
All Messages: shows every email sent, including automated; the count at the bottom of the table reflects the full total
Select any email subject to preview the email sent to that participant. Use the search bar to look up emails by participant name or address.
Use the All Messages tab to investigate delivery issues. Check the Email Status column for sending errors, or search by participant to review their full email history.
Why does my email show "Scheduled"?
There are two reasons an email may show a Scheduled status. If you're using a drip campaign, this means the email is queued and will go out in an upcoming batch. For all other emails, Rally queues messages for sending immediately but processes them in order to stay within email provider rate limits; in most cases these send within a few seconds. If a non-campaign email stays at Scheduled for more than a few minutes, check the Email Send Date column for the queued send time or reach out to Rally Support.

Add teammates to a study
A user must be added as a teammate to make changes to a study — including updating settings, sending emails or incentives, and changing study status. Teammates can be added from the Studies page or within a specific study.
From the Studies page
Navigate to Studies.
Hover over the relevant study name and select Actions > Add Teammates.
Search by name or email, or select from the list.
Select the add person icon, then select Update.
From the Study Overview
Open the Study Overview.
Select ... in the top right, then select Add Teammates.
Search by name or email, or select from the list.
Select the add person icon, then select Update.
Remove teammates from a study
Follow the steps above, but select the remove person icon next to the teammate you want to remove. Select Update to apply.
Continue setting up your study
Add Participants to a Study: add participants from your Rally CRM, a CSV upload, or manual entry
Invite Participants to a Study: send emails or share links to invite participants once they've been added
Qualify Participants: review screener responses and manually qualify, or set up conditional logic to auto-qualify
Scheduling: book, manage, and conduct interviews using Rally's native scheduler
Send Incentives: manage budgets and send incentives directly from Rally
Study Statuses: control when a study is accessible to participants and manage research priorities
Export Data: export study data to a spreadsheet for reporting or cross-team sharing
Remove participants from a study
Participants can be removed individually or in bulk. Removing a participant deletes any data collected from them, including screener submissions.
Use this feature with caution. Removing a participant permanently deletes any data collected from them. If you remove someone accidentally, contact Rally Support and we can restore them with their data intact.
Open the relevant Study Overview.
Select Participants from the sidepanel.
Remove participants individually or in bulk:
Individually — hover over a participant's name, select ..., and select Remove From Study
In bulk — select the checkboxes next to each participant, select ... at the top of the table, and select Remove From Study
Send manual reminder emails
Rally sends automated reminder emails before interviews based on timing set during study setup. You can also send manual reminder emails to re-engage participants who haven't responded yet.
In your study, select Invited from the left sidepanel.
Select the participants you want to email using the checkboxes, or select the top checkbox to select all. Filter by Participant Status if needed.
Select Compose email at the top of the table.
Choose the email type:
Survey, Scheduler, or Test — sends the same invite email from your study setup
Custom email — lets you write custom messaging
Custom emails don't automatically include personalization tokens or the Start Survey button; add those manually if needed.
