What is Shortlisting?
Shortlisting is a lightweight way to track fit directly in your study table without needing extra notes or spreadsheets.
Shortlisting adds a Shortlist column to your study’s participant table. From there, you can assign a fit status to participants:
Good Fit: strong match for your study criteria
Maybe Fit: potentially useful, but uncertain or needs review. Can also be used as a backup
Not a Fit: not right for this study
Once assigned, you can filter and sort your table by shortlist status to prioritize the right participants.
How to assign Shortlist statuses
Bulk assign shortlist status
Use this when you want to shortlist many participants at once.
Select multiple participants (or select all) in the table.
Click the More actions menu
Choose Assign to shortlist
Select Good Fit, Maybe Fit, or Not a Fit
Assign status for an individual participant
Use this for quick one-offs.
Hover over a participant’s Shortlist cell
Click the 3 dots (…) menu in the cell
Choose Good Fit, Maybe Fit, or Not a Fit
Assign directly from the column
Use this to shortlist quickly as you review a table of participants in a study.
Click in the Shortlist column for a participant
Select the status you want
Repeat down the column as needed
How to filter and sort by shortlist status
Add the Shortlist column to an existing study
For existing studies, the Shortlist column is not added automatically. To use shortlisting in an existing study, you’ll need to add the column manually.
Open your study.
In the participant table, click Columns (or the column picker).
Find Shortlist in the list and select it.
The Shortlist column will appear in your table.
Filter participants by shortlist status
Open Filters in your participant table
Select Shortlist as the filter type
Choose one or more statuses (Good Fit, Maybe Fit, Not a Fit)
Apply the filter to view only those participants
Sort participants by shortlist status
This helps you bring top candidates to the top of the list in seconds. Click the Shortlist column header to sort. Sorting cycles through:
Good Fit → Maybe Fit → Not a Fit → Unassigned
Reverse order on the next click
Permissions and access
Only Study Owners can modify shortlist statuses.
If you are not a Study Owner, you will see the Shortlist column in a disabled state and won’t be able to edit it.
Ask the study owner to update your role if you need access.
